4. EVENT BOOKING & RESERVATIONS
4.1 Inquiries & Proposals
Submitting a proposal request or inquiry through our Site does not constitute a binding reservation. All bookings require a signed event contract and applicable deposit. Proposals and quotes provided are estimates and are subject to change based on final event details.
4.2 Event Contracts
All confirmed events are governed by a separate, signed Event Contract that outlines specific terms including:
- Event date, time, and duration
- Venue rental fees, catering packages, and additional services
- Payment schedule, deposit requirements, and cancellation terms
- Guest count minimums and maximums
- Liability, insurance, and indemnification provisions
In the event of any conflict between these Terms and a signed Event Contract, the Event Contract shall prevail for matters related to that specific event.
4.3 Cancellation Policy
Cancellation terms, including refund eligibility and deadlines, are specified in the individual Event Contract. We encourage clients to review cancellation provisions carefully before signing. General cancellation policies will be discussed during the proposal process.
5. VENUE POLICIES
When using our venue, all guests and clients agree to the following:
- Vehicle Collection: The classic car collection is part of the venue's atmosphere. Guests may not touch, sit in, lean on, or interact with vehicles unless expressly authorized by venue staff.
- Damage & Liability: Clients are financially responsible for any damage to venue property, the vehicle collection, memorabilia, or equipment caused by their guests, vendors, or contractors during the event.
- Capacity Limits: Maximum occupancy limits must be respected at all times in accordance with fire code regulations.
- Alcohol Service: All alcohol must be served by our licensed bar staff. Outside alcohol is not permitted unless specified in the Event Contract.
- Conduct: We reserve the right to remove any individual whose behavior poses a safety risk or disrupts other guests. Illegal activity will not be tolerated and will be reported to authorities.
- Vendors: All outside vendors must be approved by venue management and carry appropriate insurance as specified in the Event Contract.
- Photography & Media: Highway 39 reserves the right to photograph events for marketing purposes unless the Client opts out in writing via the Event Contract.
